SECTION 01

1. Purpose, Scope & Applicability

This Company Policy Manual establishes the employment, attendance, conduct, operational, safety and workplace standards applicable at Astys Audio Video Pvt. Ltd.

The purpose of this Manual is to maintain a professional, fair, disciplined, safe and accountable working environment while providing employees with clear expectations regarding their employment.

This Manual applies to all employees of Astys Audio Video Pvt. Ltd., subject to their respective appointment letters, nature of employment, role and applicable law.

Where any provision of this Manual provides less than a mandatory statutory entitlement, the applicable statutory provision shall prevail to the extent required by law.

Management may issue Standard Operating Procedures (SOPs), circulars, instructions and departmental rules for implementation of this Manual.

SECTION 02

2. Employment, Joining & Probation

2.1 Employment Documentation

Every employee shall be issued employment documentation containing applicable terms including designation, remuneration, reporting structure and other relevant conditions.

Employees must provide complete and genuine documents and information required for employment, payroll, statutory compliance and verification. Submission of materially false information or forged documents may constitute misconduct.

2.2 Probation

Every newly appointed employee shall normally be placed on probation for three (3) months, unless otherwise stated in writing.

During probation, the employee may be assessed on performance and quality of work, attendance and punctuality, professional behaviour, technical or functional competency, discipline, learning ability, responsibility, ownership and overall suitability for the position.

Successful completion of three months does not by itself constitute automatic confirmation. Confirmation shall be subject to the terms of employment and communication by Astys Audio Video Pvt. Ltd.

SECTION 03

3. Working Hours & Attendance

3.1 Normal Working Schedule

Reporting Time: 10:00 AM
Closing Time: 7:00 PM

The standard schedule represents a 9-hour presence window, inclusive of authorised meal/rest intervals.

9 Hours Presence = 8 Hours Calculated Working Time.

3.2 Office Reporting

An employee scheduled for office duty must be present and ready for work at the office by 10:00 AM.

3.3 Site Reporting

Where an employee is instructed to report directly to a project site, the employee must reach the assigned site by 10:00 AM.

3.4 Attendance Recording

Every employee must record attendance through the method prescribed by Astys Audio Video Pvt. Ltd. Proxy punching or false location recording is strictly prohibited.

SECTION 04

4. Full Day, Half Day & Short Leave

Attendance shall primarily be determined from actual verified working hours.

4.1 Full Day

A standard Full Day requires completion of 8 calculated working hours.

4.2 Half Day

A Half Day shall generally mean completion of approximately 4 calculated working hours.

First Half: 10:00 AM–2:00 PM
Second Half: 3:00 PM–7:00 PM

4.3 Late Punch-In / Grace Period

A grace period of 15 minutes is allowed for occasional late punch-in.

SECTION 05

5. Overtime & Additional Working Hours

Overtime shall arise only where additional work is approved by the designated authority and eligible under policy/law.

SECTION 06

6. Leave, Weekly Rest & Public Holidays

6.1 Company Monthly Leave

Astys Audio Video Pvt. Ltd. provides an internal allocation of one (1) leave per month.

6.2 Public Holidays

The Company maintains an annual calendar of 10 public holidays.

SECTION 07

7. Local Travel & Petrol Reimbursement

Approved reimbursement: β‚Ή5 per kilometre (Personal Two-Wheeler)

Travel reimbursement requires logged details: Date β†’ From β†’ To β†’ Site/Project β†’ Purpose β†’ Kilometres.

SECTION 08

8. Cab & Local Transport Policy

Routine cab usage within the city is permitted only with prior approval for material transport or emergency needs.

SECTION 09

9. Outstation Duty & Travel

Company-funded food and accommodation apply exclusively to eligible outstation assignments outside the local city limits.

SECTION 10

10. Expense & Reimbursement

Only genuine, authorised business expenses accompanied by verified bills shall be reimbursed.

SECTION 11

11. Material, Tools, Equipment & Company Assets

Employees must exercise care with Company/client property (AV equipment, laptops, tools, testing gear).

SECTION 12

12. Code of Conduct & Equal Treatment

Seniority provides authority to manage work; it does not provide authority to mistreat people.

Every team member is entitled to professional, respectful and non-discriminatory treatment.

SECTION 13

13. Client, Vendor & Confidentiality

Confidential information (pricing, client data, passwords, designs) must not be disclosed without authorization.

SECTION 14

14. Site Safety & Project Discipline

Employees must strictly adhere to site safety instructions, PPE mandates, electrical safety and site cleanliness.

SECTION 15

15. HR, Grievance & Internal Resolution

HR is the primary point of contact for employee concerns, workplace conflicts, payroll questions and grievances.

SECTION 16

16. Prevention of Harassment

The Company maintains zero tolerance for harassment, including sexual harassment, under applicable law (POSH).

SECTION 17

17. Discipline & Misconduct

Misconduct carries progressive disciplinary action: Counselling β†’ Verbal Warning β†’ Written Warning β†’ Escalation.

SECTION 18

18. Suspension, Investigation & Termination

Serious allegations warrant immediate investigation, interim suspension, and due process in accordance with law.

SECTION 19

19. Performance & Development

Regular reviews evaluate quality, punctuality, teamwork and adherence to standards.

SECTION 20

20. Resignation, Handover & Exit

Compliant notice period, full handover of projects/assets, and formal exit clearance are required prior to settlement.

SECTION 21

21. Policy Administration

Management reserves the right to amend policies as necessary to comply with changing laws or operational needs.
